How to Process a Student Event Request

Calendar Guide for the SLS Office of Facilities

  1. First, login to the SLS Dashboard.
  2. Click the link named "Manage Events".
  3. Click the tab named "Events Pending Facilities Approval".
    1. Find the event you need to process and click that its "Edit" link.
    2. Click through the event's tabs and review its information as you see fit. At this point, you're allowed to change the room, date, or time information before you publish the event to the SLS Online Calendar.
    3. Once you've reviewed the event's information, you can either Approve (go to step 4) or Unapprove (skip to step 5) the event.
  4. To Approve the (Onsite) Event and Publish it to the SLS Calendar.
    If everything looks good, and you're ready to publish the event to the calendar, follow these steps to approve the event.
    1. Go to the "Event Status" tab, select "Approved and Published".
    2. Click the "Save" button to finish.
    3. A confirmation email will be sent to you. Another email will be sent to the student alerting them that their room reservation has been approved by SLS Facilities and that their event has been published to the SLS Online Calendar. A third email will be sent to av-requests@law.stanford.edu if the student had indicated that they need a panelist table or A/V equipment or services.
  5. To Unapprove the Event and Send it Back to the Student.
    From time to time, you may need to send the event back to the student (so that they can make adjustments to their event and re-submit it to SLS Student Affairs). Here's how:
    1. Go to the "Event Status" tab, select "Unapproved".
    2. In the text box labeled "Comment", you may add your reason for rejecting the room reservation /or include further instructions for the student here. These comments will be sent to the student in an email.
    3. Click the "Save" button to finish.
    4. A confirmation email will be sent to you. A second email will be sent to the student alerting them that their room reservation has been unapproved by SLS Facilities and give them instructions on how to re-submit their event to SLS Student Affairs. This email will include everything you typed into the "Comment" box.
